Celoria Recruitment Solutions (“we”, “us”, “our”) is committed to protecting your privacy and processing personal data fairly, lawfully and transparently in line with the General Data Protection Regulation (EU) 2016/679 (GDPR) and applicable national laws.

We do not currently appoint a Data Protection Officer. If this changes, we will update this notice.
2) What data we collect
We collect and process the following categories when you submit a form, email/WhatsApp us, or otherwise apply:

Identification & contact: full name, email address, phone/WhatsApp number.

Professional data: CV/resumé, work history, qualifications, language skills, job/location preferences, availability.

Application assets: cover letters, references, portfolio links.

Identity/eligibility documents (only when needed): passport, national ID, driver’s licence, proof of address/visa/work permit.

Communications: messages you send us and our correspondence.

Technical basics (essential only): IP address and user-agent may be captured by our security/logging tools.
Sensitive data: We do not seek special-category data (e.g., health, ethnicity, union membership). Please do not include it in your CV/application. If a role legally requires such information, we will ask for explicit consent and explain why.

4) Where your data comes from
Primarily from you (forms, email, WhatsApp). We may supplement with publicly available professional data you provide (e.g., LinkedIn link).
5) Who receives your data

Recruitment / employer partners (e.g., Hire Abroad and similar) only for roles you are considered for.

Service providers (processors) acting on our instructions, such as: hosting, email, form & file storage, security/backup, and IT support. We use providers that implement appropriate security and sign data-processing agreements.
- We may share your data internally within Celoria Recruitment Solutions and our own brand websites that we operate as the same controller, for the purposes set out in this notice (including marketing our own services, where you consent for electronic communications). We do not disclose your data to unrelated third parties for their own purposes without your consent.
6) International transfers
Our primary hosting is in the EEA. Where a partner or service provider is outside the EEA/UK, we rely on an adequacy decision or Standard Contractual Clauses (SCCs) plus supplementary safeguards. Details are available on request.
7) How long we keep your data

Candidate profiles/CVs: normally up to 12 months from last meaningful contact, so we can consider you for new roles.

Identity/eligibility documents: only for as long as required to verify eligibility for a specific role or to meet legal obligations, then deleted.

Emails/communications: up to 12 months unless required longer for legal reasons.
We’ll delete sooner if you ask (unless we must keep limited data to comply with law or defend legal claims).

9) Automated decisions / profiling
We do not use automated decision-making that produces legal or similar significant effects. Any screening is done by people.
10) Security
We apply technical and organisational measures such as encrypted transport (HTTPS), access controls, least-privilege accounts, and secure file handling. ID documents are not stored by us when uploaded directly to a partner’s platform; they are processed within that platform under the partner’s terms and consent flow.
11) Messaging platforms
You may contact us via email or WhatsApp. These providers process your data as independent controllers under their own terms. Please avoid sending sensitive documents over unencrypted channels unless necessary.
12) Cookies & tracking
We do not use analytics, advertising or profiling cookies. For regular visitors we set only essential cookies necessary to deliver the site and ensure security/performance (e.g., hosting/CDN). Administrator cookies are set only for signed-in site admins and are not used for visitors. See our Cookies section for details. You can opt in to receive emails/WhatsApp about our own services. You can withdraw consent anytime by emailing info@celoriarecruitment.com or replying “STOP”. This does not affect recruitment messages necessary to manage your application.
13) Children
Our services target adults seeking employment. We do not knowingly collect data from children under 16.
14) Changes to this notice
We may update this notice. The “Last updated” date shows the latest version. Significant changes will be highlighted on this page.
